Ethical Resources respects your privacy and understands the importance of handling personal information carefully, transparently and responsibly.

This policy explains what personal information Ethical Resources may collect, why it is collected, how it may be used and disclosed, and how you can request access, correction or raise a privacy concern.

Ethical Resources aims to follow responsible privacy practices and the requirements of the Australian Privacy Act 1988 and the Australian Privacy Principles where they apply.

Ethical Resources is an Australian online business that creates educational materials and practical tools relating to ethical AI use, confidentiality, professional responsibility and responsible business practice.

Products are currently sold through the ModernBusinessEthics Etsy shop. The Ethical Resources website provides information about the business, its resources and responsible AI use. Purchases and payments are completed through Etsy rather than directly through this website.

The information collected depends on how you interact with Ethical Resources. It may include:

1. Your name. 
2. Your email address and telephone number if you choose to provide them. 
3. The name of your business, practice or organisation. 
4. Your profession or general area of work. 
5. Information you include in an enquiry, feedback message or other communication. 
6. Your email subscription preferences. 
7. Records of correspondence with Ethical Resources. 
8. Limited order and transaction information made available through Etsy. 
9. Technical information associated with your use of the website, such as your Internet Protocol address, device type, browser type, pages visited and referring website. 

Ethical Resources does not receive or store your complete credit card or other payment card details when you purchase through Etsy. Payment information is collected and managed by Etsy and its payment providers.

Ethical Resources does not ask website visitors to provide health records, client files, case notes or confidential information about another person.

If you contact Ethical Resources to discuss AI use within your practice or business, please describe your needs in general terms. Do not include client names, identifying details, confidential documents or sensitive case information.

If sensitive or confidential information is provided unnecessarily, Ethical Resources may remove or securely delete that information where reasonably possible.

Personal information may be collected when you:

1. Contact Ethical Resources by email or through a website contact form. 
2. Subscribe to receive emails, articles, product news or educational information. 
3. Purchase an Ethical Resources product through the ModernBusinessEthics Etsy shop. 
4. Request information, provide feedback or raise a concern. 
5. Visit or interact with the Ethical Resources website. 

Some technical information may be collected automatically through cookies, analytics tools and the systems used to host and operate the website.

Ethical Resources may collect, hold and use personal information to:

Email subscription information may be managed through MailerLite. MailerLite maintains its data storage centre within the European Union.

The Ethical Resources website may use cookies and similar technologies to operate correctly, understand how visitors use the website and improve its performance.

This information may include your Internet Protocol address, approximate location, browser, device, pages visited and the time spent on the website. It is generally used in an aggregated or technical form rather than to identify you personally.

You may be able to manage optional cookies through the website cookie notice or your browser settings. Blocking some cookies may affect the way parts of the website operate.

Ethical Resources may share limited personal information with service providers when this is reasonably necessary to operate the business. These may include:

1. GoDaddy, which hosts and supports the Ethical Resources website. 
2. Etsy and its payment providers, which manage product listings, purchases and payments. 
3. MailerLite, if you subscribe to the Ethical Resources mailing list. 
4. Email, cloud storage, security and business administration providers. 
5. Accountants, legal advisers or other professional advisers where necessary. 
6. Government agencies, regulators, courts or law enforcement bodies when disclosure is required or authorised by law. 

Only information reasonably necessary for the relevant service will be provided.

Ethical Resources does not sell, rent or trade personal information or customer mailing lists.

When you select a link to the ModernBusinessEthics Etsy shop, you leave the Ethical Resources website and enter a platform operated by Etsy.

Etsy collects and manages information in accordance with its own privacy policy and terms. Ethical Resources may receive limited information from Etsy that is necessary to manage an order, respond to a customer or maintain business records.

The Ethical Resources website may also contain links to other external websites. Ethical Resources is not responsible for the privacy practices, security or content of external websites. You should review the privacy policy of any external service before providing personal information.

Some technology providers used by Ethical Resources operate internationally. As a result, personal information may be processed or stored outside Australia, including in the United States and countries within the European Union.

Ethical Resources considers the privacy practices of service providers before using them and takes reasonable steps appropriate to the nature and sensitivity of the information involved. International data handling practices may also be governed by the privacy policies and terms of the relevant provider.

Ethical Resources may use artificial intelligence to support general research, planning, drafting, editing and business administration. AI does not replace human judgement or responsibility.

Ethical Resources does not intentionally enter identifiable customer information, private correspondence, payment information or confidential third party material into publicly available generative AI tools.

Customer enquiries are not knowingly copied into such tools in identifiable form. When AI assists with general communication, fictional, generalised or non identifying information is preferred, and the final communication remains subject to human review.

Ethical Resources takes reasonable steps to protect personal information from loss, misuse, interference, unauthorised access, alteration and disclosure.

Information may be stored through password protected business systems and reputable service providers. Access is limited to people and providers who require it for legitimate business purposes.

No website, email system or online storage service can guarantee complete security. If Ethical Resources becomes aware of a data breach, the situation will be assessed and affected individuals and relevant authorities will be notified where required by law.

Personal information is retained only for as long as it is reasonably required for the purpose for which it was collected, to maintain necessary business records or to meet legal, taxation and accounting obligations.

When information is no longer required, Ethical Resources will take reasonable steps to delete it securely or remove identifying details. Some information may remain within secure system backups until those backups are routinely replaced.

You may ask Ethical Resources whether personal information about you is held and request access to that information. You may also ask for information that is inaccurate, incomplete or out of date to be corrected.

Requests should be sent to the contact email listed at the end of this policy. Ethical Resources may need to confirm your identity before providing access or making a correction.

There is normally no charge for making a request. If access cannot be provided, Ethical Resources will explain the reason where it is appropriate and lawful to do so.

You may browse the general Ethical Resources website without identifying yourself.

You may also make a general enquiry without providing more personal information than is reasonably necessary. However, an email address or other contact method will usually be required if you would like a response.

If you have a question or concern about how Ethical Resources has handled your personal information, please contact Ethical Resources using the details below.

Please describe the concern and provide enough information for it to be investigated. Do not include unnecessary sensitive information. Your concern will be considered by a person, and Ethical Resources will aim to respond within 30 days.

If the matter is covered by the Privacy Act and you are not satisfied with the response, you may be entitled to contact the Office of the Australian Information Commissioner through its website at www.oaic.gov.au.

This policy may be updated when Ethical Resources changes its website, services, technology providers or information handling practices, or when relevant privacy requirements change.

The current version will be published on the Ethical Resources website with its effective date. The version displayed on the website replaces any earlier version.

Ethical Resources creates resources that encourage responsible, transparent and carefully considered use of artificial intelligence. We believe it is important to apply those same standards within our own business.

Artificial intelligence may support parts of our research, planning, drafting, editing, visual development and administration. It does not replace human judgement, professional responsibility or final approval. Every published Ethical Resources product remains under human direction and review.

This policy explains where we may use AI, the safeguards we apply and the responsibilities we retain.

This policy is intended to provide clear and honest information about how Ethical Resources uses artificial intelligence.

It applies to the development of educational resources, website content, articles, marketing material, customer communication, visual content and general business administration.

Our AI use is guided by privacy, confidentiality, accuracy, fairness, transparency, human oversight and accountability.

Ethical Resources may use AI to assist with:

1. Exploring ideas and identifying questions for further research. 
2. Planning the structure of courses, guides, tools and articles. 
3. Producing preliminary outlines or draft alternatives. 
4. Improving clarity, grammar, readability and organisation. 
5. Comparing possible explanations or ways of presenting information. 
6. Summarising material for further human review. 
7. Developing fictional examples, practice scenarios and ethical dilemmas. 
8. Supporting website copy, product descriptions and marketing content. 
9. Generating or refining selected illustrations and visual concepts. 
10. Assisting with routine business planning and administration. 

AI involvement varies according to the task. Some content may receive only limited AI assistance, while other material may begin with a more substantial AI supported draft. In every case, the final decision about what is published remains with Ethical Resources.

Ethical Resources does not knowingly use AI to:

1. Make autonomous decisions about customers or website visitors. 
2. Publish content without human review and approval. 
3. Replace appropriate legal, privacy, cybersecurity or other specialist advice. 
4. Enter identifiable client records, health information, case notes or confidential professional material into publicly available generative AI tools. 
5. Enter payment information, passwords or other security credentials into generative AI tools. 
6. Fabricate qualifications, customer reviews, professional endorsements, research findings or product results. 
7. Present AI generated people, events or experiences as genuine when they are not. 
8. Copy or deliberately reproduce another creator’s protected work. 
9. Make claims that an Ethical Resources product guarantees legal compliance, professional compliance or risk elimination. 
10. Transfer responsibility for published information or business decisions to an AI system. 

AI is used as an assistive tool. It is not treated as an author, professional adviser or independent decision maker.

The founder of Ethical Resources remains responsible for:

1. Defining the purpose and intended audience of each resource. 
2. Deciding which AI tools and methods are appropriate. 
3. Reviewing, revising and approving published content. 
4. Assessing whether claims require further verification. 
5. Considering possible privacy, ethical and professional implications. 
6. Correcting identified errors. 
7. Making final publishing and business decisions. 

Human review is not treated as a simple approval step. AI generated material may be substantially changed, expanded, reorganised or rejected when it does not meet the required standard.

AI can produce information that sounds convincing while being incomplete, outdated or incorrect. It may also produce references that do not exist or do not support the claims attributed to them.

Ethical Resources does not treat an AI response as sufficient evidence merely because it appears confident or detailed.

When accuracy is important, we aim to:

1. Check significant claims against appropriate and current sources. 
2. Prefer government guidance, legislation, professional bodies, recognised standards and credible research where relevant. 
3. Open and examine important sources rather than relying only on an AI summary. 
4. Confirm that cited sources exist and support the relevant statement. 
5. Distinguish general ethical guidance from legal or profession specific requirements. 
6. Include qualifications or uncertainty when the evidence does not support a definite conclusion. 
7. Review published material when important guidance or business practices change. 

Despite these safeguards, no educational resource can be guaranteed to be completely free from error. Readers are encouraged to check information that may affect important professional, legal or business decisions.

Ethical Resources does not intentionally enter identifiable customer information, private correspondence, confidential third party information or sensitive personal information into publicly available generative AI tools.

When AI assistance is appropriate, information should be fictional, generalised or stripped of details that could reasonably identify a person or organisation.

Removing a person’s name may not be enough to protect their identity. A combination of information such as age, occupation, location, health history, family circumstances or unusual events may still make someone identifiable. We therefore consider the full context of the information rather than relying on name removal alone.

Customer enquiries are not knowingly copied into publicly available AI systems in identifiable form. If AI assists with a general response, unnecessary personal details are excluded and the final communication is reviewed by a person.

Ethical Resources is open about its use of AI. This public policy provides general disclosure that AI may assist with the creation and operation of the business.

We do not place an AI label on every sentence that has received routine assistance with spelling, organisation, editing or preliminary drafting. This would not necessarily provide visitors with meaningful information about how the content was created or reviewed.

More specific disclosure may be provided when AI involvement is substantial or when knowing about that involvement would reasonably affect how a person interprets or relies upon the material.

This may include situations where:

1. An image is substantially generated by AI. 
2. AI generated content is presented as an example or demonstration. 
3. A person is interacting directly with an automated system. 
4. AI materially influences an important recommendation, assessment or outcome. 
5. The absence of disclosure could create a misleading impression. 

Ethical Resources does not currently use an automated chatbot to provide personalised professional advice or make decisions about customers.

AI may be used to create or refine selected illustrations, background images, product mockups and visual concepts.

Images are reviewed for relevance, quality, appropriateness and possible misleading elements before publication. AI generated people are not presented as actual customers, professionals or people with lived experience unless this is clearly explained.

Where an image could reasonably be mistaken for evidence of a real person, event, endorsement or product result, its artificial nature will be disclosed.

AI systems may reflect biases, stereotypes and exclusions within their training data or design.

Ethical Resources aims to review AI assisted content for language, assumptions and images that may unfairly stereotype, exclude or disadvantage people. Content may be revised or rejected when it does not reflect the intended values of fairness, dignity and respectful professional practice.

AI is not relied upon to determine whether a person is suitable for a service, opportunity, role or benefit.

Ethical Resources uses AI as part of a human directed creative process. Published resources are selected, developed, revised and arranged to reflect the purpose, judgement and original contribution of Ethical Resources.

We do not intentionally ask AI tools to reproduce protected works or closely imitate the distinctive work of a living creator. Sources are acknowledged where attribution is appropriate.

AI generated material is reviewed for possible copying, unsupported quotation, invented attribution and other intellectual property concerns before it is used.

Purchasing an Ethical Resources product does not transfer ownership of its written content, structure, design or branding. Permitted use is governed by the terms accompanying the product or listing.

Before using an AI tool for a business purpose, Ethical Resources considers factors such as:

1. The intended purpose of the tool. 
2. The type and sensitivity of information involved. 
3. The provider’s privacy and data handling information. 
4. Whether submitted information may be retained or used for system improvement. 
5. The reliability and limitations of the tool. 
6. The level of human review required. 
7. The possible consequences if the output is wrong or inappropriate. 
8. Whether a lower risk method could achieve the same purpose. 

No AI tool is considered suitable for every task. A tool that is acceptable for general brainstorming may not be appropriate for confidential information, individual advice or a decision that could significantly affect another person.

Ethical Resources remains responsible for the content it publishes, including content developed with AI assistance.

If we become aware that AI assisted material contains a significant error, misleading statement, inappropriate representation or privacy concern, we will assess the issue and take reasonable corrective action. This may include correcting, replacing, clarifying or removing the material.

Feedback is welcomed when a reader believes that an Ethical Resources product or publication contains a possible error or does not reflect the standards described in this policy.

AI technologies and their terms, capabilities and risks continue to change. This policy describes the current approach of Ethical Resources but cannot address every possible tool or future use.

The existence of this policy does not mean that AI use is free from risk. It describes the safeguards and principles used to identify, reduce and manage those risks.

This policy provides information about Ethical Resources practices. It does not constitute legal, privacy, cybersecurity or professional advice for another person or organisation.

This policy will be reviewed at least annually and earlier when:

1. Ethical Resources begins using AI in a materially different way. 
2. A new AI tool introduces significant privacy or ethical considerations. 
3. The business begins providing new services. 
4. Relevant laws, regulatory guidance or professional expectations change. 
5. An incident or concern shows that an existing safeguard should be improved. 

The current version will be published on the Ethical Resources website. The published version replaces any earlier version.
